This policy explains how MICROMAX MACHINERY GROUP IRELAND LTD (“Micromax”, “we”, “us”) collects and uses personal data through micromax-group.co.uk, our customer support portal, and the related sales, installation, servicing and support activities described below.
1. Who is responsible for your data
MICROMAX MACHINERY GROUP IRELAND LTD is the controller of the personal data covered by this policy. Our registered office is Unit A6, 10 Sanda Road, Whitehouse, Newtownabbey, Co. Antrim, BT37 9UB. Questions and data-rights requests can be sent to rob@micromax-group.co.uk.
2. Personal data we collect
- Enquiries and marketing: your name, business contact details, enquiry, products or services of interest, page or form source, and newsletter preference.
- Customers and contacts: names, work contact details, company, postal and installation addresses, correspondence, account notes and relationship history. A customer organisation may give us details of its authorised users.
- Portal accounts: name, email address, organisation, encrypted password, invitation and account status, and last login time.
- Machines and service: machine model and serial number, installation and warranty information, service-contract status, assigned engineer, appointments, service dates, reported faults, diagnostics, troubleshooting answers and outcomes, work completed, parts used and service notes.
- Files: documents, photographs, videos and other attachments submitted with support requests or created during service work. Please avoid including personal data that is not needed to resolve the request.
- Technical and usage data: consent choices and, where permitted, device, browser, approximate location, referrer and website interaction data collected through Google Analytics. Our servers may also create security and diagnostic logs such as IP address, request time and error details.
We normally obtain this information from you, your employer or another authorised contact at your organisation, our staff and engineers, and our website and analytics systems.
3. Why we use personal data and our lawful bases
- Enquiries and quotations: to respond, assess requirements and take steps towards a contract at your request; and for our legitimate interest in developing customer relationships.
- Customer, machine and service management: to supply, install, maintain and support machinery; arrange engineers and appointments; maintain service and warranty records; and administer our contracts.
- Portal operation: to create and secure accounts, show authorised users their organisation's machines, documents, requests and service history, and provide guided troubleshooting. This is necessary to perform our services and for our legitimate interests in delivering efficient support.
- Communications: to send invitations, password or account messages, enquiry confirmations, support updates and appointment notices that are necessary to administer a request or service.
- Marketing: to send newsletters or similar electronic marketing where you have consented, or where another lawful exception applies. You can unsubscribe at any time.
- Analytics and preferences: with your consent, to understand website use and improve our services. You may change your cookie choices as described in our Cookie Policy.
- Security, records and legal compliance: for our legitimate interests in preventing misuse, protecting the platform, managing disputes and maintaining business records, and to meet legal obligations.
Where we rely on legitimate interests, we balance those interests against your rights. We do not use portal troubleshooting to make solely automated decisions that produce legal or similarly significant effects. A troubleshooting outcome may recommend a solution or escalation to Micromax support.
4. When information is required
Fields marked as required are needed to process the relevant enquiry, account or support request. If you do not provide them, we may be unable to respond, activate the account, identify the correct machine or provide the requested service.
5. Who can access or receive personal data
We do not sell personal data. We may disclose it, where necessary, to:
- authorised Micromax staff, engineers and contractors;
- authorised users within your customer organisation, who may see organisation-level machine, support, appointment and service information;
- hosting, database, private-file storage, email, IT security and maintenance providers acting for us;
- Google, where you consent to Google Analytics;
- professional advisers, insurers, regulators, courts, law enforcement or other parties where required to establish, exercise or defend legal rights or comply with law; and
- a buyer, seller or adviser involved in a genuine business reorganisation or transfer, subject to appropriate safeguards.
6. International transfers
Some suppliers may process data outside the UK. Where this happens, we use an applicable adequacy regulation or contractual and organisational safeguards required by UK data protection law. Contact us if you would like information about the safeguard used for a particular transfer.
7. How long we keep information
We keep information only for as long as reasonably needed for the purpose collected. In deciding the period, we consider the customer relationship, machine working life, warranty and service commitments, safety and support needs, legal limitation periods, tax and accounting duties, disputes and security requirements. In particular:
- unsuccessful or one-off enquiries are periodically reviewed and deleted or anonymised when no longer needed;
- customer, machine, appointment, troubleshooting and service records may be retained throughout the relationship and afterwards where needed for support, safety, contractual or legal records;
- portal account records are retained while the account or related customer relationship is active and then reviewed for deletion or anonymisation;
- marketing details are kept until you unsubscribe or we determine they are no longer current, with limited suppression information retained to respect an opt-out; and
- cookies and local storage remain for the periods listed in our Cookie Policy unless you remove them sooner.
8. Security and account confidentiality
We use technical and organisational controls intended to protect personal data, including access controls, password hashing, signed secure-session cookies and restricted private-file access. No internet service is completely secure. Portal users must keep credentials confidential and tell us promptly if they suspect unauthorised access.
9. Your rights
Depending on the circumstances, you may ask for access to, correction, deletion, restriction or portability of your personal data, or object to its use. Where processing relies on consent, you may withdraw that consent at any time without affecting earlier processing. You have an absolute right to object to personal data being used for direct marketing.
